Check-in and attendance records
Check-in is the step where someone marks a booked person as having arrived. It's the record of who actually came, which is different from who booked. That gap is what drives no-show rules and pass balances.
This page uses Momence's help centre as the main example, with Glofox and Mindbody for comparison, checked on 5 November 2026.1
Three ways to check people in
| Method | How it works | Suits |
|---|---|---|
| Manual at the desk | Staff tick people off a list as they arrive | Studios with someone at the front |
| Manual by the teacher | The teacher marks the roster | Small studios with no desk staff |
| Auto check-in | Everyone who registers is checked in automatically | Drop-in times when people queue to pay |
Momence says staff can go to the class, then "flip the toggle next to those that have arrived" in the list of sign-ups.2
Glofox lists a staff app on a phone that shows class bookings and lets staff check clients in.3
Mindbody argues that choosing a spot in advance makes check-in faster because there's less to sort out at the desk. That's the maker's claim about its own feature.4
Auto check-in
Momence says check-ins are "for tracking attendance and no-shows". Its auto check-in checks in everyone who registers. The help page suggests it for people waiting in line to pay for a class that's about to start.1
Two limits are worth knowing. There's no setting that turns it on for every class, so it has to be switched on for each class, series or private session. And afterwards a teacher can review the roster and toggle off anyone who didn't show.1
That second point matters. If auto check-in marks everyone present and nobody reviews it, your records will say people came who didn't. Pass balances and no-show reports would then be wrong.
Marking people late
People arrive late, or get added after class starts. Momence describes booking a customer into a past class, to "book them in or mark them as having arrived afterward".2
What is kept afterwards
The attendance record sits against the client's profile. In Momence the profile shows past purchases, "including bookings and payments they've made". It can be filtered down to just class bookings.2
For memberships, Momence's subscription page lists the classes a membership has been used on, how many were taken in the current renewal period, and how many credits are left.5
Those are the records you'd use to answer a client who says they were charged for a class they attended. They're also what lets you spot a regular who's stopped coming.
Check-in and no-show fees
Check-in also decides when a no-show counts. Momence's no-show cut-off is covered in the fees page.
Privacy
Attendance records are personal information. How long you may keep them depends on your country. So does who may see them. The OAIC (Australia), ICO (UK) and FTC (United States) publish official guidance, and a lawyer can advise too. Don't assume the software's defaults match your local rules.
Health details are a separate matter. If you collect injury or health forms, treat them with extra care and seek proper advice. This site covers booking and front-desk tasks only.
